Terms and Conditions

Please read the following terms and conditions carefully. Your participation in our cultural learning program requires your acceptance of these conditions.

CONTRACT:

These are the terms on which we will make a booking for your travel or holiday requirements. Although a majority of contracts will be directly with the SAS Les Trobadors in the eventuality, we must engage a third party booking we will arrange for you to enter into a contract with the principal(s) or other supplier(s) (e.g. tour operator/ /transport company/accommodation company) named on your receipt(s).

With SAS Les Trobadors you will enter into a package holiday agreement, meaning you will have one contract agreement, please note that SAS Les Trobadors agreements do not include airline transportation and fairs

As agent we accept no responsibility for the acts or omissions of the principal(s) or supplier(s) other than SAS Les Trobadors or for the services provided by them.

The principal’s(s’) or supplier’s (s’) Terms & Conditions will apply to your booking and we advise you to read these carefully as they do contain important information about your booking.

Please ask us for copies of these if you do not have them. Our Terms of Business are governed by French Law and the jurisdiction of the French Courts.

All travel arrangements which we provide or which are sold through us are not an offer by us to sell any travel arrangements, but an invitation to you to make an offer to the suppliers of the arrangements. We are free to accept that offer on behalf of those suppliers or to reject it.

BOOKING DETAILS:

When a booking is made all details will be either read back to you or confirmed via email. Once you have confirmed these details, we will proceed to confirm the booking(s) with SAS Les Trobadors and/or with the principal(s) or supplier(s). Please check that all names, dates and timings are correct on receipt of all documents and advise us of any errors immediately.

Any changes to these details will incur the charges stated below. Please ensure that the names given are the same as in the relevant travel documents. The booking information that you provide to us will be passed on only to the relevant suppliers of your travel arrangements or other persons necessary for the provision of your travel arrangements.

The information may therefore be provided to public authorities such as customs or immigration if required by them, or as required by law. This applies to any sensitive information that you give to us such as details of any disabilities, or dietary and religious requirements. Certain information may also be passed on to security or credit checking companies. Full details of our data protection policy are available upon request.

Fees and Tariffs

All prices shown, or quoted via email and/or telephone include local value added tax (TTC) unless otherwise stated and in this eventuality will appear followed by the acronym (HT) – without tax.

Please note that Les Trobadors prices do not include Airline transportation or VISAs

Discounts

Discounts include, but are not limited to: Multi Week Cultural Program Discount, Special/Seasonal Offer Discount. Standard Fees quoted on the website do not include discounts, these will be communicated at the time of booking. SAS Les Trobadors reserves the right to withdraw discounts for unconfirmed reservations.

Registration, Books and Materials Fee

There is an 105 euro fee per person for registration, books and materials. If your program includes progressing to a higher level (e.g., Beginner to Intermediate), additional books cost 60 euros.

Accommodation Reservations

We will contact you with details regarding your choice of accommodation. Weekly accommodation in rental houses/apartments are based on Monday arrival and departure.

Payment Methods

SAS Les Trobadors will provide you with a payment link for secure payment of deposit and fees online (MasterCard, Visa, Unionpay, WeChat and Alipay only). Please note: Due to demand the certain payment links are only valid for 48 hours only.

PLEASE NOTE: That full payment is due on final date of the payment plan agreed at the time of reservation, a late charge of 10 euros per day (starting on the day after the due date) will be applied to the balance due. If the balance due is not received within 7 days following the due date, the reservation will be cancelled, no refund of the deposit is possible and your space is offered to students on our waiting list.

Cancellation, postponement and Refund Policy

Change of reservation dates for courses or accommodation (including postponement), or change of accommodation, are subject to a 100 euro fee and must be made before arrival. If you need to cancel your class enrollment and/or your accommodation, you must notify SAS Les Trobadors by registered mail/

CANCELLATION

All cancellations are subject to the 100 euro cancellation fee. If notice of cancellation is received at least 30 days prior to your arrival SAS Les Trobadors will charge you the 100 euro cancellation fee +10% of the total fee amount (program, accommodation, registration, all books and materials) of the week(s) you are cancelling. If cancellation is less than 30 days prior to arrival, no refund is possible. Refunds for cancellation requests made between the 1st and the 15th day of the month are processed on the last day of the month in which the request was made; refunds for cancellation requests made after the 15th day are processed the last day of the following month.


Classes are weekly, Tuesday – Saturday. There are no classes on public holidays but the program fee is adjusted. Once a program has started it is deemed to be completed and no refund nor credit can be given for unattended lessons, weeks or courses, in whole or in part, nor can refunds of accommodation fees be made in whole or in part. All litigation is presented and heard at the Tribunal d’Instance de Châteauroux, (Indre) France. There are no classes on French public holidays and tuition cost for weeks with holidays is lower to reflect the fewer classes.

Insurance

SAS Les Trobadors, its employees and agents will not be held responsible for any losses, damages, or injuries caused during any program undertaken. The student/client is solely responsible for his/her own health, accident, liability, travel, cancellation and personal insurance. Student/clients are advised to obtain all appropriate travel, medical and cancellation insurance in their country of origin before departure.

Number of Students

Maximum number of students in language guide seminars is 8. In rare cases, an exception may be made for a maximum of 9. The Maximum number of participants in experiences may vary depending on site specific details and nature of the activity/workshop/guided tour and/or tasting experience.

Your obligations

The student/client is required to observe program regulations. Any person whose attitude is determined by SAS Les Trobadors to be disruptive or incompatible h SAS Les Trobadors internal regulations and policies may be expelled from the education centre without refund.

INSURANCE: 1) Many principals/suppliers require you to take out travel insurance as a condition of booking with them. In any event, we strongly advise that you take out a policy of insurance in order to cover you and your party against the cost of cancellation by you; the cost of assistance (including repatriation) in the event of accident or illness; loss of baggage and money; and other expenses. If we have issued your policy please check it carefully to ensure that all the details are correct and that all relevant information has been provided by you (e.g. pre-existing medical conditions). Failure to disclose relevant information will affect your insurance. 2) We can also offer you insurance against the financial failure of the principal(s)/ suppliers(s) of your travel arrangements.

 DELIVERY OF DOCUMENTS

All documents (e.g. invoices/tickets/ Insurance policies) that require to be posted will be sent to you by standard post. Once documents leave our offices, we will not be responsible for their loss unless such loss is due to our negligence. If tickets or other documents need to be reissued all costs must be paid by you.

PASSPORTS, VISAS AND HEALTH

We can provide general information about the passport and visa requirements for your trip. Your specific passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates. Neither we nor the principal(s) or supplier(s) accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. France now requires passports to be valid for at least 6 months after your return date. Please ask us for full details. We can provide general information about any health formalities required for your trip but you should check with your own doctor for your specific circumstances.

FINAL TRAVEL ARRANGEMENTS

Please ensure that all your travel, passport, visa and insurance documents are in order and that you arrive in plenty of time for checking in at the airport.

COMPLAINTS

In the eventuality that the contract(s) for your travel arrangements is between you and the principal(s) or supplier(s), any queries or concerns relating to the travel arrangements should be addressed to them.

For direct agreements with SAS Les Trobadors: If you have a problem during your stay, this must be reported to the relevant SAS Les Trobadors employee immediately. If you fail to follow this procedure there will be less opportunity to investigate and rectify your complaint. The amount of compensation you may be entitled to may be reduced or you may not receive any at all depending upon the circumstances. If you wish to complain when you return home, please write to the name and address stated on your contact. We will of course assist you with this if you wish – please contact SAS Les Trobadors Customer Services.  

SERVICE CHARGES

In certain circumstances we apply a service charge for the services we provide. This will be stated at time of the reservation
